Privacy Policy.

About this policy

At Rose Co By Design, every project begins with trust. You welcome us into your home or business, and we take the care of your personal information as seriously as the care we put into your space.

This policy explains how we collect, use, store and share personal information, and how you can access or correct it.

  • Who we are: Rose Co By Design, a boutique interior design studio based on the Sunshine Coast, Queensland, operated by the trustee of The Rose Co Family Trust (ABN 97 952 554 224).

  • Who it applies to: clients, prospective clients, website visitors, suppliers, trades, consultants and anyone else who shares information with us.

  • Our standard: we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

  • References to "we", "us" and "our" mean Rose Co By Design.

Information we collect

We only collect information that is reasonably necessary to deliver our design services and run our studio. This may include:

  • Contact details: name, phone number, email address, postal and site address

  • Business details: company or trading name, ABN, role and billing contacts (for commercial clients)

  • Project information: your brief, budget, timeframes, lifestyle and household needs, style preferences and selections

  • Site information: floor plans, measurements, site photographs and video of your home or premises, and access arrangements

  • Financial information: invoicing and payment records (we do not store full credit card details)

  • Communications: emails, messages, meeting notes and feedback

  • Website and social media data: enquiry form submissions, and general usage data collected through cookies and analytics

Sensitive information. Sometimes a design brief touches on health, accessibility or family circumstances, for example mobility needs in a bathroom or the requirements of a healthcare fitout. We only collect this with your consent and only use it to design a space that genuinely works for you.

How we collect it

Wherever possible, we collect information directly from you. This happens when you:

  • Contact us by phone, email, social media or our website enquiry form

  • Meet with us for a consultation or site visit

  • Accept a fee proposal or sign our terms of engagement

  • Share plans, photos or inspiration with us during your project

We may also receive information about you from others involved in your project, such as your builder, architect, building designer, project manager, real estate agent or a referral partner. Where this happens, we handle it in the same way as information you give us directly.

You can choose to deal with us anonymously or under a pseudonym for general enquiries. For design work, we will need your name and contact details to provide our services.

How we use it

We use your personal information to:

  • Respond to your enquiry and prepare fee proposals

  • Deliver your design services, including concepts, documentation, renders and FF&E schedules

  • Coordinate with builders, trades, suppliers and consultants on your project

  • Order and arrange delivery of furniture, finishes and fixtures

  • Issue invoices, process payments and keep business records

  • Keep you updated on your project and follow up after completion

  • Send occasional news or inspiration, only where you have agreed to receive it

  • Meet our legal, insurance and tax obligations

Automated decisions. We do not use automated systems or software to make decisions about you that could significantly affect your rights or interests. Every decision about your project is made by a person.

We never enter your personal details into AI tools. How we use AI in our studio is set out in clause 11 of our Terms and Conditions.

Marketing. You can opt out of marketing emails at any time by using the unsubscribe link or simply letting us know.

Who we share it with

Good design is a team effort, so we share information only with the people who need it to bring your project to life:

  • Project collaborators: builders, fitout contractors, trades, drafters and modellers who prepare drawings or 3D models on our behalf

  • Consultants: architects, building designers, certifiers and engineers (structural, hydraulic, fire and other specialists)

  • Suppliers: furniture, lighting, finishes and joinery suppliers, for quotes, orders and deliveries

  • Professional advisers: our accountant, bookkeeper, lawyer and insurer

  • Service providers: the software and cloud platforms we use to run the studio (see below)

  • Authorities: where we are required or authorised by law

We only share what each party needs, and we never sell or rent your personal information.

Project photography and portfolio

We photograph completed projects to share in our portfolio, website, social media and marketing. Ownership of all designs and project imagery, and how we may use them, is set out in clause 7 (Intellectual Property) of our Terms and Conditions.

  • To protect your privacy, we do not publish your name, full street address, or any people or personal items that could identify you, without your consent.

Website, cookies and online tools

  • Cookies and analytics: our website may use cookies and analytics tools to understand how visitors use the site. This data is general and does not usually identify you. You can disable cookies in your browser settings.

  • Social media: if you engage with us on Instagram, Facebook, LinkedIn or Pinterest, those platforms handle your information under their own privacy policies.

  • Advertising: we may use social media advertising tools to reach people interested in interior design. These platforms may use cookies or similar technology to show relevant ads.

  • Third party links: our website may link to other sites. We are not responsible for their privacy practices.

Overseas storage. Some of the software we use for email, file storage, design documentation, FF&E scheduling and accounting may store data on servers outside Australia, including in the United States. We choose reputable providers and take reasonable steps to make sure your information is protected.

Keeping your information safe

  • We store information in secure, password protected systems with access limited to people working on your project.

  • Physical documents and samples are kept in our studio and disposed of securely when no longer needed.

  • We keep project records for as long as needed to provide our services and meet legal, tax and insurance requirements, generally seven years after project completion.

  • When information is no longer needed, we securely delete or de-identify it.

  • If something goes wrong. If a data breach is likely to cause you serious harm, we will act quickly to contain it, let you know, and notify the Office of the Australian Information Commissioner where required.

Access, correction and complaints

  • Access and correction: you can ask to see the personal information we hold about you, or ask us to correct it. We will respond within 30 days.

  • Complaints: if you have a concern about how we have handled your information, please contact us first. We will listen, look into it and respond within 30 days.
